The purpose of this privacy policy is to describe how MyDefence (“we”) processes your personal data.
Below you will find information about, among other things, which types of your personal data we process, for which purposes and to whom your data may be disclosed.
As the party responsible for the processing of your personal data, it is important to us to protect and safeguard your personal data, because we wish to treat our customers, website visitors, etc. in the best possible way and at the same time comply with our obligations under the GDPR and the Danish Data Protection Act.

We place cookies on our website and, in that connection, process your general personal data, including IP address, MAC address, browsing history and click behavior. This is done for the purposes of marketing, the development of our products, and the preparation of statistics and analyses.
When you visit our website, we place strictly necessary cookies on the basis of our legitimate interest in ensuring that our website functions in the most appropriate manner. We place functional cookies, statistical cookies and marketing cookies on our website when you have given your consent to this. You may withdraw your consent at any time by clicking the small cookie icon in the left-hand corner of the website.
We delete cookies in accordance with the retention periods set out in our cookie banner, which appears automatically when you visit our website for the first time. Alternatively, you can always bring it up again by clicking the small cookie icon in the left-hand corner of our website.

3. If you sign up for our newsletter
When you sign up for our newsletter, we process your general personal data, including your email address and, where provided, your name, information relating to your consent and, where applicable, information about your opening and click behavior in relation to the newsletter. This processing takes place on the basis of your consent.
We also process your personal data for the preparation of analyses and statistics as well as for documentation purposes, which takes place on the basis of our legitimate interest in improving and developing our products, as well as our legitimate interest in being able to demonstrate that we have obtained your consent.
Your personal data is stored until you withdraw your consent or unsubscribe from the newsletter, subject to any information we need to retain for documentation purposes. You may unsubscribe from the newsletter at any time, and thereby withdraw your consent, by clicking the link at the bottom of the email or by contacting us as described below.
We also process your personal data in order to be able to document your consent. This is stored for 2 years after you withdraw your consent or otherwise cease to receive the newsletter.
Your personal data is shared with suppliers of our communication platforms, including email providers, as well as with suppliers of tools for the preparation of statistics and analyses.

4. If you communicate with us
When you contact us, for example via email or the contact form on our website, we may process your general personal data, including name, telephone number and email address, information contained in your enquiry as well as the date of the enquiry.
We process your personal data to be able to handle your enquiry and to be able to document the contents of our correspondence, for example in connection with a complaint case.
Your personal data is processed on the basis of our legitimate interest in being able to communicate with you, including handling your enquiry, and to be able to document the contents of our correspondence with you in the event of a dispute arising.
If your enquiry concerns a potential or already concluded agreement, we process your personal data either in order to take steps prior to entering into the agreement or for the performance of the contract with you.
As a general rule, we store your enquiry for 3 years from receipt of the enquiry for the purpose of being able to document its contents.
We may share your personal data with suppliers of our communication platforms, including email providers.

5. If you are a supplier, partner or employee of a business customer
This section concerns our processing of your personal data if you are a contact person at one of our suppliers, partners or business customers.
We may process your general personal data, including name, telephone number, email address, place of work and job title, as well as contractual information such as orders, invoices and contracts between your employer and us, which may contain personal data about you.
We process your general personal data as part of our general handling of your order, including the handling of your enquiry and invoices. In addition, we process your personal data for the purpose of handling complaints and claims, to document our correspondence in that connection, as well as part of the preparation of statistics and analyses and to develop our services and products. This takes place on the basis of our legitimate interest in being able to communicate with you, including handling your enquiry, documenting the contents of our correspondence with you in the event of a dispute arising, and handling any complaints and claims.
If your enquiry concerns an order, we process your general personal data for the performance of the contract with you.
We store personal data included in accounting material for 5 years from the end of the relevant financial year. The retention period is determined on the basis of the rules of the Danish Bookkeeping Act.
Otherwise, we store your personal data for 5 years from the end of the cooperation or the expiry of the contract. The data may, however, be retained for a longer period in anonymised form.
We may share your personal data with suppliers of our communication platforms, including email providers, as well as with suppliers of tools for the preparation of statistics and analyses.

6. When you use our Support Portal
When you use our partner portal, we may process your general personal data, including name, telephone number, email address, place of work and job title.
We process your personal data to be able to make e-learning material about our products available to you, to be able to send notifications about updates to our products, and to be able to handle tickets you submit via the partner portal. This is done on the basis of our legitimate interest in offering the various services via the partner portal.
We store your personal data for a year from the end of the cooperation or the expiry of the contract. The data may, however, be retained for a longer period in anonymised form.
We may share your personal data with suppliers of our IT systems used for the distribution of e-learning material and the handling of tickets.

7. If you visit our physical premises
When you visit our office facilities, we may process your general personal data, including name and place of work, the date of your visit, as well as photo and video material from CCTV surveillance. In some cases, we may also process personal data relating to criminal offences concerning you in connection with our CCTV surveillance.
The processing takes place to register who visits our premises and for the purposes of preventing and detecting crime on our premises.
We process your general personal data on the basis of our legitimate interest in keeping an overview of visitors. The processing of personal data relating to criminal offences takes place on the basis of our legitimate interest in detecting criminal offences.
We retain personal data from our visitor registrations for 60 days from registration.
Photo and video material from CCTV surveillance is retained for a maximum of 30 days, unless we need to retain it for longer in connection with a specific dispute, for example the investigation of a criminal offence.
We may share your personal data with suppliers of IT systems used for CCTV surveillance, just as we may disclose the recordings from CCTV surveillance to the police in the event of suspected or committed crime.

8. If you apply for a job with MyDefence
If you apply for a job with us, we may process your general personal data, including name, email address, telephone number and information appearing in your application and CV, including, for example, information about education, qualifications and experience. We may also process your general personal data which is freely available on social media and public channels, information appearing in references from your previous employers and results from IQ tests and/or personality tests. We may also process personal data relating to criminal offences concerning you if such data appears on your criminal record.
We process your personal data to assess who is the right candidate for the position.
We process your general personal data on the basis of our legitimate interest in assessing whether we can offer you a position. If we assess that we can offer you a position with us, we process your general personal data to be able to enter into an employment contract with you.
If your criminal record contains information about criminal offences, we process this data on the basis of our legitimate interest in ensuring that our employees who hold relevant positions have no previous convictions.
If we cannot offer you a position, we will, as a general rule, retain your personal data for 6 months, unless you have given your consent to longer retention. You may withdraw such consent at any time by contacting us as set out below.
If you are offered a position with us, we will retain the personal data collected in connection with the recruitment process in your personnel file.
An empty criminal record will be deleted immediately after we have reviewed it. If you are employed even though the criminal record contains entries, the data will be retained in your personnel file.
We may share your personal data with suppliers providing IT systems to support the recruitment process, including email providers and providers of HR systems.
We may disclose your personal data to headhunters and to suppliers carrying out IQ and personality tests. The legal basis for this disclosure is our legitimate interest in finding the right candidate for the position.

9. If you visit our profiles on social media
When you visit our profiles on either Facebook, Instagram, LinkedIn, YouTube or X, we process your personal data. This takes place as part of our marketing, to communicate with you via social media and for the preparation of statistics and analyses.
When you visit our profiles on social media, we may process your general personal data, including IP address, information about comments and likes as well as other information which is available on your profile.
We also process your general personal data on the basis of our legitimate interest in being able to communicate with you and market ourselves via social media.

We are joint controllers with Facebook, Instagram and LinkedIn for the collection of personal data when you interact with our profiles. In that connection, we have entered into joint controller arrangements. You can read the arrangement with Meta (Facebook and Instagram) here and the arrangement with LinkedIn here.
General enquiries are, as a general rule, retained for a year, although this depends on the content of the enquiry.
Likes and comments on our profiles on social media are deleted when they are no longer necessary as part of our marketing.
We may share your personal data with suppliers providing IT systems used for our marketing activities, including social media providers.

10. Where does your personal data come from?
We have received most of your personal data from you.
When you apply for a job with us, however, we may in certain cases receive your personal data from others, for example previous employers in connection with the obtaining of references, or from publicly available sources, for example social media.
11. Consent
In certain cases, we process your personal data on the basis of your consent.
You should be particularly aware that you may withdraw your consent at any time. You withdraw your consent by contacting us via the contact details set out below. The withdrawal of your consent does not affect the lawfulness of our processing based on your consent prior to the withdrawal.
12. Disclosure to other data controllers
In certain cases, it may be necessary to disclose your personal data to third parties, such as the police, the courts, lawyers, auditors, the tax authorities, insurance companies, potential buyers or other public authorities. The legal basis for such disclosures will be either our legitimate interest in resolving disputes or detecting criminal offences, or compliance with a legal obligation to disclose your personal data.
It may also become necessary to disclose your personal data to a potential buyer or affiliated group companies in connection with changes in MyDefence’s corporate structure, including, for example, in connection with the sale of all or part of the business. In the event that changes in our corporate structure require the disclosure of your personal data, the legal basis for this is our legitimate interest in carrying out those changes in the corporate structure.
13. Transfers of personal data countries outside the EU/EEA
In certain situations, we transfer personal data about you to countries outside the EU/EEA (third countries). Any transfers will be based on one of the European Commission’s adequacy decisions, such as the EU-U.S. Data Privacy Framework, or the European Commission’s standard contractual clauses for transfers to third countries.
14. Your rights under the GDPR
You have the following rights under the GDPR:
- You have the right to obtain access to the data we process about you, as well as a range of further information.
- You have the right to have inaccurate data concerning you rectified.
- In special cases, you have the right to have data concerning you erased before the time of our normal general erasure, unless we are obliged to retain the data in order to comply with a legal obligation.
- In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have the processing restricted, we may, going forward, only process the data – with the exception of storage – with your consent, or for the purposes of the establishment, exercise or defence of legal claims, or to protect a person or important public interests.
- In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to the processing of your data for direct marketing purposes.
- In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format, as well as the right to have such personal data transmitted from one data controller to another without hindrance.
